Since 2008, Executive Suites Toronto has been successfully managing furnished suites in down town Toronto. We effectively administer the day-to-day affairs of your investment property in order to maximize your income & maintain the value of your property.

Once we join together to acquire a select property, you join us as partners in the executive suites rentals business. We then take over the property management of your property, converting it to a high-quality, executive suite rental, managed under our full-service management program. This means that you will be able to sit back and relax while we:

    • Implement and manage the marketing of your suite
    • Handle all the legwork related to inquiries and showing the suite
    • Qualify prospects and finalize bookings on your behalf
    • Take care of the logistics involved in scheduling cleaning services and turnovers
    • Collect, process and track deposits and rent payments via secure transactions
    • Service tenant requests after they have moved in
    • Schedule and execute routine maintenance and repairs
    • Continuously monitor your property and provide recommendations for improvements that will increase its value and marketability
    • Coordinate any other work you may require (additional fees will apply)

Gather data on rental rates in the area and prepare a detailed market analysis report
• Prepare the property for rent
• Create unique advertisements tailored to the neighbourhood and local demographic
• Schedule viewings of the property and walkthrough potential tenants
• Provide prospects with rental application
• Perform credit and reference checks and contact previous or current Landlord
• Verify employment and income
• Evaluate potential tenant based on pre-defined criteria
• Inform declined applicants
• Create lease
• Review lease with tenant, get lease signed and collect first and last month’s rent by guaranteed funds
• Arrange and facilitate move-in with tenant
• Conduct initial move-in inspection and have tenant sign to acknowledge condition of the property/unit
• Inspect unit and have tenant sign-off on move-out day
• Clean unit and perform any needed repairs or upgrades
• Re-key locks (if needed)
• Make all reasonable efforts to collect the rent for the property
• Issue rental statements and make collection calls when necessary
• Advise the owner in the event of a legal dispute
• Issue all LTB (Landlord and Tenant Board) forms and notices, if required
• LTB representation
• Coordinate and arrange for Sheriff’s office to retake lawful possession of the unit
• Perform periodic inspections of the exterior of the property
• Conduct semi-annual interior inspections
• Make payments on behalf of owners – insurance premiums, property taxes and utilities (while vacant or in a net free lease)
• Provide financial statements, including rent-rolls and profit and loss statements
• Bank reconciliation
• Create annual operating budgets, capital repair budgets and track cash-flow
• Maintain historical records (paid invoices, leases, inspection reports, etc)
• Year-end financials, tax preparation and consulting
• Payroll administration (where applicable)
• Recommend and implement plans to maximize finance/sale potentials
• Provide tenants with access to 24/7 emergency telephone line
• Respond to all tenant maintenance requests and manage necessary maintenance and repairs
• Design and implement customized preventative maintenance programs and initiatives
• Design and implement life safety and emergency procedures
• Manage, hire and train new and existing staff to align them with company goals and objectives
